Your Records & Data Retention

Pet E-Dex · Policy chosen September 30, 2026; backup scope and evidence review clarified October 14, 2026

Animal Records

We keep your profiles, care history, photos and documents while your account is in use or has an active subscription. Archived and deceased animals remain part of that history. Beta accounts and records carry into launch without a reset.

Leaving or Taking a Break

Canceling a subscription stops renewal under its billing terms. After paid access ends, you have 12 months to view and download records. We give notice 60 days and 7 days before deletion. No paid subscription is active during free beta.

For a free account unused for 24 months, we give at least 60 days’ notice before deletion and a final notice at least 7 days before deletion. Returning to use the account or choosing Keep my account stops inactivity deletion. A background tab or automatic refresh does not count as use.

Requesting Deletion

Open My Account → Your data to download your records or request account deletion. We verify your identity and review shared ownership before removal. Our target is 30 days from receiving a request, subject to applicable legal deadlines and explained exceptions. You can cancel the request until processing starts.

Ending caregiver access does not erase the animal owner’s record of care. We review a caregiver’s deletion request separately, retaining identifying information only where a documented lawful reason requires it. Signing out does not delete records.

Backups and Other Records

Deleted records must not return to use when a backup is restored. Our target is to remove backup copies under our control within 90 days after live application deletion. Separately, Firebase documents removal of associated authentication information from its live and backup systems within 180 days after we initiate deletion of the sign-in identity. These periods cover different information and start at different events. Provider backup removal and recovery are still being verified before external beta access; elapsed time alone is not proof that every retained copy has been removed.

We review retained deletion-case evidence at least every three months and remove unnecessary details, while keeping the minimum records needed to prevent deleted information or revoked access from returning after a restore. This is a manual review process, not automatic erasure.

Routine technical logs have a maximum 30-day retention target; security logs, 90 days; and support conversations, 12 months after resolution. Documented ongoing incidents and legal obligations may require limited exceptions. Animal care history is not a technical log. Financial records will have a separate reviewed schedule before billing starts.
